VOLUNTEER MANAGER – FULL TIME
Department: Resource Development
Reports to: Director of Development
Hours: Tuesday through Friday: 7:30am – 4pm | Saturday: 6:30am – 11:30am
Starting Wage: $41,000
Community Harvest Food Bank seeks a qualified candidate for the position of Volunteer Manager. Community Harvest is a private, non-profit corporation located in Fort Wayne, Indiana serving Allen County and 8 surrounding counties. Our mission is to alleviate hunger through the full use of donated food and other resources in NE Indiana. CHFB has been an integral part of the local community since 1983 and we are seeking individuals who share the same passion of our mission.
ESSENTIAL JOB FUNCTIONS:
Volunteer Recruitment and Retention:
- Develop recruitment materials and presentations appropriate to specific audiences
- Prepare and lead tours and orientation sessions to potential volunteers and visiting guests
- Promote CHFB and its volunteer needs in all possible venues
- Represent CHFB at speaking engagements and other public events
- Target recruitment for specially skilled volunteers, as needed or requested by staff
- Coordinate with local organizations such as churches, schools, volunteer organizations, or local businesses to generate interest in CHFB Volunteer Service
- Promote volunteer interest among individuals
- Maintain volunteer participation through prompt and timely communication, scheduling, confirmation, and appreciation process
- Develop, update and conduct volunteer orientation and training programs
Community Harvest and Volunteer Liaison:
- Act as an advocate for volunteers and as a liaison between volunteers and CHFB staff
- Work with CHFB staff to identify specific volunteer needs, scheduling and expectations.
- Develop a process to screen and place volunteers ensuring the assignment best fits their skills and abilities
- Publish a weekly schedule of volunteer groups and individuals for all appropriate staff on an outlook calendar.
- Coordinate with CHFB staff to produce a quarterly report detailing the volunteers’ impact on the productivity, efficiency, output and delivery of product, programs, and agency relationships
Administer the Volunteer Program:
- Maintain Volunteer Hub database
- Ensures completion and filing of accident and/or incident reports and responds appropriately
- Provide assistance in special events and fundraisers by securing and supervising the volunteer support needed to ensure a successful endeavor.
- Develop and maintain position descriptions for all volunteer opportunities reviewing and updating descriptions as needed
- Develop and implement volunteer recognition coinciding with National Volunteer Week
- Maintain up-to-date information including the necessary completed forms and volunteer hours for all volunteers, volunteer groups and community service workers in hard copy
- Coordinate Volunteer recognition to include Volunteer of the Month
- Send out Thank You notes

ADDITIONAL RESPONSIBILITIES:
- Assist in other areas of the food bank as assigned
- Willingness and ability to attend local, regional, or national conferences and meetings as requested
- Completion of special assignments, request, and projects as assigned
- Maintain a clean and orderly office environment
- Maintain a neat, clean, and professional appearance at all times
- Adheres to rules and regulations in Personnel Manual
- Evening and weekend hours as requested

PROFESSIONAL REQUIREMENTS:
- Must possess excellent public speaking skills in a variety of settings
- Must have keen time management skills and the ability to multi-task
- Excellent communication skills both written and speaking
- Ability to coordinate multiple projects and adhere to deadlines in a fast-paced environment
- Must be able to work in a team atmosphere and possess good collaboration skills
- Ability to work with a variety of groups and diverse communities
- Ability to maintain confidentiality
- Ability to make quick decisions
- Valid Driver’s License required
EDUCATIONAL REQUIREMENTS:
- Bachelor’s Degree or Equivalent Experience
- Experience with a non-profit organization or food bank helpful
- Proficiency in MS Office computer programs
- Certification in Food Safety – Certification class provided by CHFB
- Type 40 WPM
